Need a place to stay for VALA2016? A range of quality accommodation at attractive rates is available to VALA delegates via our Conference Managers, WALDRONSMITH Management.

How to Book

1. To secure your accommodation, simply nominate your selected hotel, arrival/departure dates and room type when you register online. A credit card number will be required and will be passed on to the hotel to secure your booking. (Please note: no payment will be deducted at this time.)
2. Your accommodation and incidental costs must be settled directly with the hotel on departure; some hotels may charge a surcharge on credit card payments made on departure.
3. Should you require dates outside the main Conference dates, please note this in your booking and WALDRONSMITH Management will contact the hotel on your behalf and advise.
4. Any changes to your booking must be made via email to WALDRONSMITH Management – not direct with the hotel.
5. All room rates noted are based on room only, unless otherwise specified, are in Australian Dollars and include 10% GST.

Availability and Cancellation

The hotels impose strict release dates of 30 days prior to arrival and therefore any bookings made after 9 January 2016 will be subject to availability. WALDRONSMITH Management and the Organising Committee cannot be held responsible if all rooms at special rates are unavailable. As there is limited space available at each hotel, it is important that you book early. Accommodation will be allocated strictly in order of receipt of registration and payment.

Hotels will also be enforcing strict cancellations policies for any rooms booked over this period. WALDRONSMITH Management and the Conference take no responsibility for cancellation fees incurred. Please refer to the individual hotel information listed below for their cancellation policies. Please note cancelled bookings or failure to arrive at the hotel on the designated date of arrival (no-show) will incur penalties. See details below before making your selection.

Cancellation Policy: Between 30 – 7 days prior to arrival: cancellation is equivalent to one(1) night’s accommodation per room, charged to the applicable credit card.  No shows & cancellations within 7 days a 100% cancellation fee applies.

Credit card guarantee

A valid credit card is required to guarantee your accommodation booking. Card details will be passed onto the accommodation property to guarantee your booking but WILL NOT be charged. FULL payment will then be required by the property on check out.

Payment of accommodation

The accommodation account and any incidental charges must be paid in full, directly to the hotel, on departure.

Early arrival or late departure

Please note that the check-in time for the Conference hotels is from 1400 hours except for the Hilton which is from 1500 hours. Please indicate or notify the VALA2016 Conference Office in writing if you will be arriving early, as you may be required to pre-register the night before to guarantee immediate access to your hotel room. Please also indicate or notify the VALA2016 Conference Office in writing if you will arrive at your hotel after 1800 hours, to avoid your room being released.

Change of booking

Any change to a reservation must be notified to the VALA2016 Conference Office in writing and not directly to the hotel.
